Purpose
JLearn is Jhpiego’s learning management system developed for staff to attain skills and knowledge in the pursuit of professional development and organizational effectiveness. This policy document serves as a guide for the usage of JLearn.

Roles and Responsibilities
JLearn is managed by Jhpiego’s Learning Management System Administrator and the Manager of Organizational Learning and Development.

Access
JLearn Access: The following types of staff will automatically receive access to JLearn within 7 days of their Jhpiego email account being created:  
  • Full time / Part time Global Hires
  • Full time / Part time US Hires
  • Interns - Global and US Based
Access to JLearn for all other types of personnel, such as temporary hires, consultants, and staff from partner organizations is only permitted in special instances for specific coursework. For more information on personnel types, see the Jhpiego Personnel Access Policy.

Course Access:
Most courses are optional and open for all staff to take or request enrollment in. Staff will receive a notification regarding any course they are assigned and required to complete. Please note, only staff who joined Jhpiego after 5 July, 2017 are required to complete New Staff Orientation via JLearn.

Paid Courses: 
Some catalogue courses have a nominal fee associated with them, which is paid for by Global Human Resources. Therefore, staff are limited to 1 paid course per year. Staff are able to request enrollment in these courses directly through JLearn. If staff wish to take more than 1 paid course per year, they must discuss with their supervisor and receive formal approval to enroll. Once the formal approval is received, send an email to Helpdesk-JLearn with your supervisor cc'd and the name of the course32T(s), along with the ION with which to charge the additional course(s).
 
Confirmed participants in the Global Management Training Program (GMTP) and/or Manju Badlani Leadership Development Program (MBLDP) will not have paid courses within that program count toward their total.

Misuse or Dissemination of Account Information

Since JLearn uses Jhpiego credentials to login, account information could also grant someone access to other Jhpiego systems if shared.Staff are prohibited from sharing their JLearn or Jhpiego credentials. If it is found that any staff have provided another person with their account information, such as their JLearn password or have allowed another user to take courses through their account, the following actions will be taken:
  • The JLearn account will be deactivated until further notice.
  • ISTS will be notified of the incident.
  • Subsequent offenses may lead to disciplinary action.
Evidence of Prior Learning
JLearn is Jhpiego's central record for reporting all staff learning and development activities. Therefore, it must be an accurate and comprehensive profile of our staff training, both internal and external. To foster a culture of learning, it is vital we are able to capture even external learning data to successfully link development with performance and career growth. Communications and Support
JLearn Downtime Communications:
Planned JLearn outages for system upgrades or maintenance will be announced in advance via an all staff email broadcast and listed on the JLearn Information page to affected LMS users. Unplanned or emergency outages will be communicated by the same avenues as quickly as possible.

Technical Support:
All support requests of a technical nature related to JLearn should be made through the JLearn Helpdesk at Helpdesk-JLearn. Best efforts will be made to respond to requests within one business day. However, detailed requests may take 36-48 hours for a response.
